Digitalizing Leather Manufacturing Maintenance Operations with Cryotos CMMS

Client Overview

Bharath Enterprises is a leading leather manufacturing company based in Ranipet, Tamil Nadu — one of India's most prominent leather production hubs. The company is committed to maintaining high production quality and operational efficiency across its facility, serving both domestic and export markets.

Cryotos CMMS was implemented with capabilities tailored to Bharath Enterprises' needs, including customized reports for on-demand visibility into equipment and maintenance performance, a meter reading dashboard for real-time tracking of equipment readings, and an expiration reminder dashboard that automates alerts for upcoming expirations to keep the team audit-ready at all times.

Challenges Before Cryotos

Cryotos CMMS was implemented to give the portfolio a single operating system across four cities and three property types. Configuration went down to the level of every mall, every individual tenant unit inside each mall, the hotel property, and each industrial site — 19-plus tracked locations in total. That structure has scaled to 18 actively tracked sites carrying real transaction history, with more than 1,200 work requests moving through the system as the day-to-day operating rhythm of the business, not a pilot.

Key challenges included:

  1. No centralized maintenance history
  2. Missed preventive maintenance schedules
  3. Poor visibility into work order status
  4. Difficulty tracking technician productivity
  5. Limited reporting for management decisions
  6. Time-consuming manual documentation and audit preparation
  7. Delayed response to equipment breakdowns

Solution Provided by Cryotos

To digitize and streamline maintenance operations across the facility, Bharath Enterprises implemented a structured, centralized maintenance workflow within Cryotos. The implementation ensures clear coordination between production, the maintenance team, and management, while improving tracking, accountability, and data-driven decision-making.

1. Asset Management & QR Code-Based Tracking

Every production asset — from conditioners and wooden drums to generators and forklifts — was registered in Cryotos with a complete asset profile and QR code. Technicians scan the QR code at the machine to instantly access asset details, maintenance history, and open work orders.

‍Impact: Creates a single source of truth for every asset and eliminates dependency on individual technicians' memory or scattered records.

2. Work Request & Work Order Management

When an issue arises on the shop floor, a Work Request is raised in the system with the asset name, issue description, priority level, and supporting images. The maintenance team reviews the request, converts it into a Work Order, and assigns it to the appropriate technician. Status is updated in real time — from Open to Work in Progress to Completed.

‍Impact: Ensures accurate issue reporting, faster allocation, and full visibility of every job from creation to closure.

3. Preventive & Breakdown Maintenance with Digital Checklists

4. Mobile Application for Technicians

Technicians receive, execute, and close work orders directly from the Cryotos mobile app — scanning assets, completing checklists, attaching photos, and updating status from the shop floor without paperwork.

‍Impact: Increases technician productivity and ensures maintenance data is captured accurately at the point of work.

5. Real-Time Dashboards & Reports

Management gains complete visibility through real-time dashboards covering downtime, asset reliability KPIs, meter readings, and compliance reminders — replacing hours of manual report preparation.

‍Impact: Enables data-driven decisions, simplifies audit preparation, and directs improvement efforts where they matter most.

6. Automated Documentation & Audit-Ready Reporting

Every work order, checklist, and maintenance activity is automatically logged and timestamped within Cryotos, eliminating the need for manual paperwork and spreadsheet consolidation. Asset-wise maintenance history, compliance checklists, and activity logs are stored digitally and can be retrieved instantly whenever an audit or internal review is required.

Impact:
Cuts documentation effort drastically, reduces audit preparation time from days to minutes, and keeps the facility inspection-ready at all times.

7. Faster Breakdown Response & Escalation

Breakdown work requests raised from the shop floor are automatically flagged by priority and routed to available technicians in real time via mobile notifications. Supervisors get live visibility into response and resolution times, and unattended or delayed work orders are escalated automatically to prevent bottlenecks.
‍
Impact: Reduces equipment downtime, speeds up technician response to critical failures, and minimizes production loss from unplanned breakdowns.

Before vs. After Cryotos

Before Cryotos After Cryotos
Manual maintenance process Fully digital maintenance management
Paper and Excel records Centralized CMMS platform
Reactive maintenance approach Planned and preventive maintenance
Limited asset visibility Complete asset history and tracking
Manual work order management Digital work order workflow
Time-consuming reporting Real-time dashboards and reports

Meter Reading & Consumption Tracking

Using the Meter Reading module, Bharath Enterprises captures equipment running hours and consumption data directly through the Cryotos application. The example below shows meter reading variation recorded for the 300 KVA Cummins generator, giving the team a clear view of usage trends over time.

Each point on the chart is a meter reading logged by the maintenance team, and the line plots the running hours consumed between readings. On most days the generator shows low variation of 0–2 hours, with a noticeable spike in early May and a sharp rise of nearly 20 running hours toward the end of the month — indicating a period of heavy generator usage. Because usage is trended rather than just recorded, abnormal running hours stand out immediately, allowing the team to plan servicing based on actual utilization instead of fixed calendar dates. The same data drives consumption reporting. The forklift diesel consumption report below is generated automatically from meter readings, linking running hours to diesel usage for accurate cost tracking.

Maintenance Dashboards & Downtime Analysis

Real-time maintenance dashboards give management complete visibility into downtime performance. The monthly view summarizes total downtime duration and count, and breaks down the top downtime issues by hours and by occurrence.

The monthly view summarizes total downtime duration and the total number of downtime events for the month, alongside two breakdowns of the top downtime causes — one ranked by hours lost and one by number of occurrences. In this view, mechanical issues dominate both charts, far exceeding electrical issues in hours and frequency. This tells management at a glance where downtime is concentrated, so improvement efforts and preventive maintenance resources can be directed at the categories causing the greatest production loss.

Expiration Reminders

The Expiration Reminder module plays a vital role in staying ahead of renewals and compliance deadlines. The dashboard tracks all active reminders, flags expired and soon-to-expire items, and categorizes them by time remaining, ensuring nothing slips through unnoticed.

The dashboard tracks all renewal and compliance deadlines — such as licenses, AMC contracts, calibrations, and certificates — in one place. Summary cards display the total reminders being tracked, how many have expired, how many are in the critical 0–7 day window, and how many are expiring within 8–30 days. Expired and soon-to-expire items are flagged automatically, ensuring renewals are acted on before they lapse rather than being discovered during an audit.

Asset Reliability KPIs

Beyond downtime tracking, the Asset Maintenance dashboard consolidates the facility's core reliability KPIs into a single yearly view, giving management an at-a-glance measure of overall equipment performance.

The yearly view summarizes five key reliability indicators across all assets — BDO (number of breakdown occurrences: 73 for the year), BDH (total breakdown hours: 10,052 across the asset base), MTTR (Mean Time to Repair: 137.7 hours), MTBF (Mean Time Between Failures: 16,102.08 hours), and overall equipment Availability of 99.15%. Tracking MTTR and MTBF together reveals both how quickly the team responds to failures and how reliably equipment runs between them, while the availability figure gives management a single headline metric for plant health.

Customer Experience & Review

From the perspective of the Bharath Enterprises maintenance team

‍"Before Cryotos, tracking maintenance meant paper logs, Excel sheets, and constant follow-ups — there was no single place to see what was pending or completed. Now, every asset, every work order, and every checklist is in one system, visible to everyone."

Ease of Use

The system is straightforward to use on the shop floor. Technicians scan the QR code on a machine, view its history, and complete digital checklists from the mobile app without paperwork. Raising a work request takes minutes, and the process required minimal training for the team to adopt.

Visibility & Transparency

One of the biggest improvements has been real-time visibility into every work request and work order. Previously, once an issue was reported verbally or on paper, there was little clarity on its status. Now every stage — from request creation to work order closure — is documented and visible, and the complete maintenance history of every asset is available on demand.

Preventive Maintenance Compliance

Digitized PM schedules and automated reminders mean preventive tasks are no longer missed or delayed. The team has shifted from reacting to breakdowns to planning maintenance around actual asset condition and usage, supported by meter readings and downtime trends.

Reporting & Audit Readiness

Reports that previously took hours to compile manually are now generated instantly from real-time dashboards. During internal and customer audits, complete digital records — maintenance history, checklists, and compliance reminders — are available at the click of a button.

Conclusion

The implementation of Cryotos CMMS has significantly transformed the way maintenance operations are handled at Bharath Enterprises. By introducing a structured digital workflow — from work request creation through preventive maintenance execution to final closure — the system has eliminated the gaps and delays inherent in paper-based and spreadsheet-driven processes. Modules such as Meter Readings, Expiration Reminders, and real-time dashboards have further strengthened operations by turning routine maintenance data into actionable insight — from fuel accountability on forklifts to asset-level downtime prioritization and headline reliability KPIs such as 99.15% equipment availability. Overall, the system has delivered measurable improvements in preventive maintenance compliance, breakdown response, technician productivity, and audit readiness. As Bharath Enterprises continues to grow its production capacity, this centralized and data-driven maintenance framework provides a scalable foundation that supports increasing asset volumes without compromising reliability or product quality.
