The Challenges

Before Cryotos, the institute's facility management operations ran on a combination of verbal requests, paper registers, and phone calls. Four core problems had compounded over time:

There was no system to capture how many maintenance requests were being raised across the campus at any given time. A leaking hostel pipe, a broken classroom projector, and a faulty streetlight were all handled through informal channels — phone calls to the estate office, handwritten complaint registers, or word-of-mouth.

No one had a reliable count of open, pending, or resolved requests. Resource planning was guesswork, and recurring issues at specific locations went unnoticed because the data simply did not exist.

Every maintenance activity — from logging a complaint to closing it — involved paper. Registers filled up. Papers got misplaced. When the administration needed a monthly summary of what was done, where, and by whom, the facility team had to manually compile reports from scattered records.

The moment a user submits a request from their phone, the system captures the exact GPS coordinates. The Implementation Journey

The rollout followed a structured, phased approach designed to ensure smooth adoption across a complex, multi-stakeholder campus environment:

99% On-Time Closure Rate With 202 out of 205 work orders closed-completed and 187 resolved on time, the platform delivered a near-perfect closure rate within the first reporting period.
